Role Summary
Facilities and Logistics Coordinator is responsible for managing the daily operations of company buildings, logistics, and supply chain activities to ensure an efficient and safe working environment. This role involves coordinating facility services, overseeing inventory and procurement, managing vendor relationships, and supporting logistical needs such as those related to the car fleet.
Impact of the Role
- Supports a safe, efficient, and well-functioning workplace by managing facilities, logistics, and supply chain operations.
- Contributes to business continuity and cost efficiency through effective vendor coordination, procurement, and resource management.
Responsibilities:
- Maintenance Coordination: Schedule and oversee, together with the representatives of the building owner and specific suppliers, maintenance and repair work for the facility, including HVAC, plumbing, electrical, and general repairs and upgrades of office building, warehouses, or other company facilities
- Vendor Management: Coordinate with vendors and service providers for facility&logisticts - related contracts (cleaning, security, HVAC, utilities, recurrent goods and services, car operational leasing, etc.). Ensure compliance with contracts and service agreements. Maintain records of vendor contracts, service agreements and maintenance schedules.
- Space Management: Manage space planning, office moves and seating arrangements in accordance with the policy and strategy of the company
- Safety Compliance: Ensure compliance with health, safety and environmental regulations. Conduct regular inspections and audits to identify potential hazards.
- Inventory Management: Maintain inventory of supplies and equipment, ordering as necessary to ensure the facility is well-stocked
- Budget Assistance: Assist in preparing and managing the facilities and logistics budget, tracking expenses and identifying cost-saving opportunities.
- Emergency Preparedness: Support emergency preparedness and business continuity planning. Develop and implement emergency response plans, including evacuation procedures and safety drills.
- Communication: Serve as a point of contact for facility&logisticts -related inquiries from employees and management, providing timely responses and solutions.
- Reporting: Prepare reports on facility operations, maintenance activities, car fleet, car parking usage and compliance issues for management review
- Car fleet management: overseeing and optimizing the company's fleet of car to improve efficiency, reduce costs and ensure compliance with regulations (it includes tasks such as vehicle acquisition, maintenance, fuel management, driver monitoring, insurance and route planning)
- Car Parking Management: Oversee the management of car parking facilities, including allocation of parking spaces, monitoring usage, and ensuring compliance with parking policies
- General Administrative Support:
- Develop and implement policies and procedures for facilities and logistics operations
- Coordinates and monitors all the tasks that fall within the scope of activity of the drivers and cleaning ladies
WE WILL VIBE WITH YOU
Knowledge and Skills:
- You have min 3 years’ experience in a similar position
- You are graduated from a bachelor’s or master’s degree in administrative area
- Professional experience: at least 3 years of experience in Administrative, Facilities, SSM & PSI
- Education: bachelor’s or master’s degree in administrative area
- Clean driving license, B category
- Relevant experience in facilities management and building maintenance.
- Solid knowledge of installation systems (electrical, plumbing).
- Exceptional computer skills, including Microsoft Office and databases
- Excellent communication and negotiation skills.
- Ability to work independently and manage multiple tasks simultaneously.
- Basic knowledge of facilities management software.
- Languages required: Romanian & English
