What you will do:
Office Operations & Management:
Manage and maintain the inventory of office supplies, proactively placing orders to ensure adequate stock.
Oversee the distribution and secure storage of all correspondence, including letters, emails, and packages.
Welcome and greet visitors to the office, directing them appropriately and ensuring a positive first impression.
Maintain the cleanliness, organization, and professional appearance of the reception area at all times.
Data & Documentation Management:
Prepare regular, accurate reports on expenses and office budgets, providing key financial insights.
Maintain and consistently update various company databases to ensure data integrity.
Develop and manage a systematic filing system for important and highly confidential company documents, ensuring easy retrieval and security.
Communication & Support:
Serve as a primary point of contact, efficiently answering queries from both employees and external providers.
Update office policies as required, ensuring all changes are communicated effectively.
Prepare detailed reports and presentations incorporating statistical data, as assigned, to support various departmental needs.
Event Planning & Coordination:
Actively participate in the organization and coordination of both in-house and external events, ensuring smooth execution from planning to completion.
What we are looking for:
- 2-3 years of proven work experience as an HR Assistant or similar role
- Solid knowledge of office procedures
- Experience with office management software like MS Office (MS Excel and MS Word, specifically)
- Strong organization skills with a problem-solving attitude
- Excellent written and verbal English communication skills
- Attention to detail
- Ability to handle sensitive and confidential information with discretion
Work Schedule & Location:
- This is a full-time position with a working schedule from 9:00 AM to 5:30 PM.
- Office presence is required 4 days a week, with potential for one remote day (details to be discussed).
- This is a 1-year determined contract position.
